What does the AI receptionist actually do on a call?

The AI receptionist answers the call in a natural voice, greets the caller by your business name, and asks what they need. It can answer common questions from information you provide, book appointments, take a message with a written transcript, and transfer the call to a person or department when the caller asks or when your rules say so. It works in English and French and never puts a caller on hold to look something up.

A typical call, step by step

The caller dials your main number. Instead of a menu, they hear a greeting in your business name and a simple question: how can I help? The caller answers in their own words. The AI listens, works out the intent, and follows the script you agreed at setup.

If the caller wants an appointment, the AI checks availability and books it. If they ask a question you have given it an answer for, such as hours, location, parking or what to bring, it answers. If they need a person, it transfers. If nobody is available, it takes a message, confirms the caller's name and number, and sends you the transcript.

What it is good at

  • Answering every call on the first ring, at any hour, including lunch and holidays.
  • Handling the repetitive questions that take up a front desk's morning.
  • Collecting a clean message: name, callback number, reason for calling, and how urgent it is.
  • Booking, confirming and rescheduling appointments without a human in the loop.
  • Switching between English and French based on what the caller speaks.
  • Producing a written summary of every call so nothing is lost on a sticky note.

How it differs from a human receptionist or an answering service

A human receptionist can use judgment and handle anything unusual, but is one person with one set of hours. A traditional answering service uses shared operators who read from a card and pass messages along. The AI sits between the two: it follows your rules exactly, is available all the time, and hands anything outside those rules to a person.

Most businesses do not choose one or the other. They let the AI handle the first minute of every call and route the rest to the people who are already there. See the comparison page linked below for a fuller picture.

What you decide at setup

A 3CTel specialist works through your call types with you: what the AI should answer itself, what it should book, who it should transfer to and when, and what it should say when it does not know. You hear it on a temporary number before it goes live, and you can change the script at any time.

Related questions.

Will callers know they are talking to an AI?

Yes. The greeting identifies it as an automated assistant, and it will say so if asked. Most callers are comfortable once they realize they can get what they need quickly or ask for a person at any time.

Can it handle a caller who talks over it or changes subject?

It handles interruptions and topic changes reasonably well, and it asks a clarifying question when it is unsure. If a call becomes complicated, it offers a transfer or takes a message rather than guessing.

Does it replace my main menu?

It can, or it can sit behind one option on the menu, such as "press 2 for appointments". Many businesses start with the AI on after-hours calls only and expand once they trust it.
