AI receptionist
Can I use the AI only after hours or only for overflow?
Yes. The AI receptionist is a destination in your call routing like any other, so it can answer only outside business hours, only when a call has rung unanswered for a set time, only when a queue is full, or only behind one menu option. Many businesses start this way and widen its role once they have listened to a few weeks of transcripts.
Three common part-time set-ups
- After hours only. During the day calls ring your team as usual. Outside your schedule, and on holidays, the AI answers, books, takes messages and reaches the on-call person for anything urgent.
- Overflow only. Calls ring your team first. If nobody answers within, say, 20 seconds, or the queue is longer than a set number of callers, the AI picks up so the caller is not sent to voicemail.
- One menu option. The main menu offers "press 1 to book an appointment" and that option goes to the AI. Everything else goes to people.
How the rules fit together
The AI is placed in the same routing plan as your ring groups, queues and voicemail. Business-hours rules decide whether the day path or the after-hours path applies. Within a path, a ring timeout or queue limit decides when to hand a call to the AI. In the admin portal this is set under Call Routing → Business Hours and the relevant group or queue's overflow setting; a 3CTel specialist can make this change for you.
You can also use different scripts for different paths. The after-hours script might lead with booking and messages, while the overflow script apologizes for the wait and offers a callback.
Why start part-time
Running the AI after hours or on overflow first has two benefits. Your team keeps handling the calls they already handle well, and you get real transcripts of what callers ask when nobody is there. Those transcripts show which questions the AI should be given answers for and which topics should always go to a person.
Because it is a routing change, expanding the AI's role later takes minutes, and pulling it back is just as quick.

Can the AI cover lunch and short absences?
Yes. Add a lunch window to the schedule, or rely on overflow so the AI picks up whenever the front desk does not answer within the timeout. Either way the caller is helped instead of reaching voicemail.
Does part-time use cost the same as full-time?
Pricing is quoted for your set-up during planning, and the usage pattern is part of that discussion. Nothing is billed before activation, and a specialist can walk through the options with you.
Will callers notice a difference between day and evening?
They will hear a different greeting, which is usually the point: the evening greeting can say you are closed and offer to book or take a message. The tone and business name stay consistent.
