Team Messaging

Internal chat that turns into a call when typing is not enough.

Channels for teams and projects, direct messages for quick questions, files where the conversation happened — and the presence of every colleague right beside their extension.

  • Channels and direct messages
  • Escalate a chat to a call or meeting
  • Same app on desktop and mobile

3CTel Team Messaging is internal chat built into the same desktop and mobile apps used for business calling. Teams use channels, direct messages and file sharing, see colleagues’ presence based on their phone state, and escalate any conversation to a voice call or video meeting with one click. Guest channels let outside collaborators join a single channel, and search covers messages and files.

What changes for your business.

One place for internal conversation

Questions, decisions and files stay in the channel where they happened instead of being split across personal texting apps and email threads.

Fewer interruptions, faster answers

Presence shows who is on a call before you knock, and a quick message replaces the walk to a desk or a call that goes to voicemail.

Chat becomes a call without switching tools

When a thread gets complicated, one click starts a voice call or a video meeting with the same people, from the same window.

Front-line and back-office stay in step

Reception can ask the warehouse or the clinic floor a question while the caller is still on the line, and get the answer in writing.

Core capabilities.

Channels for teams, sites and projects

Public and private channels with membership you control, pinned messages and threads so a busy channel stays readable.

Direct and group messages

One-to-one and small-group conversations with read status, reactions and mentions that notify the right person without paging everyone.

File and screenshot sharing

Drop a PDF, a photo or a screenshot into the conversation; files stay attached to the message and are searchable later.

Presence tied to the phone system

Available, on a call, in a meeting or away is set automatically from the user’s phone state, and can be overridden by hand.

Escalate to a call or meeting

Start a voice call or video meeting from any channel or direct message; participants are invited from the thread itself.

Guest channels for outside collaborators

Invite a contractor, an accountant or a partner into a single channel without giving them access to the rest of your workspace.

Search across messages and files

Find a decision, a quote or a file by keyword, person, channel or date, including inside shared documents where supported.

Desktop and mobile apps

The same conversations on the desktop app, the browser and the 3CTel mobile app, with notifications you can quiet by schedule.

Common use cases.

Reception checking availability in real time

The front desk asks a channel whether a technician is free while the customer waits, and books the slot from the reply.

Multi-location operations channel

Store or branch managers share daily notes, stock questions and staffing changes in one channel head office can read.

Project team with an outside partner

A guest channel keeps the architect or the agency in the loop on one project, with files and decisions in one place.

Hybrid team replacing hallway conversations

Remote and in-office staff use the same channels, so nobody misses a decision because it was made out loud.

AI call summaries posted to the team channel

After a call, conversation intelligence posts a short summary and any flagged keywords to the relevant channel, so the technician or account owner sees what was promised, and an AI workflow schedules the follow-up in the CRM.

Setup and migration.

Messaging is part of the 3CTel apps your team already uses for calling, so setup is mostly about structure: which channels exist, who is in them and how notifications behave.

  1. Map channels to how you work

We plan channels by team, site or project with you, and decide which are open to everyone and which are private.

  2. Set presence and notification rules

Phone-state presence, quiet hours and mention rules are configured so messaging helps focus rather than breaking it.

  3. Enable guest access where needed

Guest channels are created for outside collaborators with the access limits you choose.

  4. Roll out with the apps

Desktop and mobile apps are deployed with messaging enabled, and your team gets a short walkthrough alongside the phone training.

AI in this product

AI in team messaging

AI keeps internal channels current with what customers said, without anyone retyping it.

Call and voicemail summaries posted to channels

A summary of a call or voicemail can be posted to the right team channel by rule, so dispatch, sales or support sees the customer's request without opening the recording.

Alerts on keywords and sentiment

When a customer mentions a cancellation, an outage or a competitor, or sounds upset, a workflow can alert a named channel or person with the transcript excerpt attached.

Catch-up summaries for busy channels

Long channel threads can be summarized on request so someone returning from a shift or a site visit sees decisions and open items rather than scrolling.

Common questions, answered directly.

What is team messaging in a business phone system?

Team messaging is internal chat that lives in the same application as calling and meetings. Instead of a separate tool, staff message each other in channels or direct messages, see who is on a call before interrupting, and turn a text thread into a call when needed. Keeping it in one app means one login, one presence indicator and one place to search.

How does escalating a chat to a call work?

From any channel or direct message, a user clicks the call or meeting button. The platform starts a voice call or video meeting and invites the people already in the thread, so nobody has to dial extensions or paste a link. When the call ends, the group is back in the same chat with the context intact.

Can external partners use team messaging with us?

Yes, through guest channels. A guest is invited to one specific channel and sees nothing else in the workspace. Files and decisions for that project stay in the channel, and the guest’s access is removed when the work is done. Guest access is turned on channel by channel, so it is easy to control.
